Neuroscience 2024 exhibitor information is sent by email to your company’s Primary Admin Contact.

Make sure that exhibits@sfn.org is on your safe list so that you receive these important updates. Please submit a Primary Admin Contact Change request if the primary admin contact for your company has changed.

Exhibit rates are listed on the Exhibit Dates and Fees web page.
Your company’s Primary Exhibit Contact should have received an email confirmation from Neuroscience 2024 Manager that we received your application for space.
If not, please email exhibits@sfn.org.
  • 8 ft. high (2.5 meters) back drape and 36 in. high (91.44 centimeters) side rail
  • Single-line text identification sign showing the exhibiting company and booth number
  • Seven Exhibitor Personnel Badges, per 10’ x 10’ — includes admission to scientific events
  • Two Exhibitor Personnel Badges, per 10’ x 10’ booth — gain full access to the exhibit hall and poster sessions ($2,450 value)
  • Carpet - SfN requires that all exhibitors provide carpet/installed flooring for the entire booth space.

The exhibit space applications can be found by clicking on Purchase Exhibit Space & Advertising from the menu bar and logging in.

  • Commercial companies who exhibited at Neuroscience 2023 will be emailed login information on January 16.
  • Companies who exhibited at Neuroscience 2015 - 2022, will be emailed login information on February 27.
  • Exhibitors who participated in SfN's annual meeting held in 2015 or earlier must complete the Neuroscience Exhibitor Prior to 2015 form in order to receive login information.
  • Companies that have not previously exhibited at an SfN annual meeting should first submit the First-Time Exhibitor form.

Full payment is due by June 28 (commercial applications only). If payment is not received by this date, exhibit space may be reassigned and deposit may be returned less 50% of the total cost of the space assigned.

All applications received after June 28 must be accompanied by full payment. No applications will be processed without full payment after this date.

To make exhibiting at Neuroscience 2024 easier and more streamlined, liability insurance that meets all SfN and convention center requirements is now included in your booth fee. You will no longer need to purchase insurance separately and submit a certificate of insurance.

Cancellation or reduction of space between January 16 and April 19 will result in a charge equal to 25% of the total cost of cancelled space. Cancellation of space or reduction of space between April 20 and June 28 will result in a charge equal to 50% of the total cost of the cancelled space. Institutes and nonprofits will pay an administrative fee equal to 10% of the total cost of the cancelled space.

Reminder - Island booths downsizing or cancelling will have a cancellation fee of 100% for any aisle space that is cancelled. Exhibiting company must submit the cancellation or space reduction form.

SfN will cancel exhibitor hotel rooms proportional to the reduction of exhibit space and entire room blocks held by a company cancelling the entire exhibit space.

Refunds will not be granted after June 28.

Any exhibitor failing to occupy space is not relieved of the obligation to pay full rental price for space. The Society will have the right to use exhibit space as it sees fit, provided the space is not occupied one hour prior to the scheduled exhibit hall opening.

Space Selection Appointments will be scheduled in three groups:

  • Group A (in order of highest priority points)
  • Group B (in order of highest priority points)
  • All Other Applications (in order of date/time deposit is received)

Group A

Open to all commercial companies that exhibited at Neuroscience 2023 in Washington, DC. To be considered Group A assignments companies must submit their applications, with 50% payment, by February 9. Space selection and assignment will be made during the appointment.

  • Space Selection Appointments via Zoom Call: February 19 - 23
  • Booth confirmations and invoices emailed to Primary Admin Contact: February 27

Group B

All companies (commercial, nonprofit, institute (U.S. Government Agencies only) that have submitted an application between February 10 and April 19 with 50% deposit (nonprofit and institute – 100% deposit). Space selection and assignment will be made during the appointment.

  • Space Selection Appointment via Zoom Call: April 29 - May 3
  • Booth confirmations and invoices emailed to Primary Admin Contact: May 7

All Other Applications

All applications with deposit received after April 19 will be assigned on the floor after all Group B exhibitors have been placed based on what space is available at the time of assignment. Such applications will be assigned space in the order in which their deposit is received.

Note: Exhibit space moves are based on a first-come, first-served basis.

Exhibitors are allowed to reserve seven rooms per 10 ft. x 10 ft. (100 sq. ft.) booth. A maximum of five rooms per exhibitor may be reserved at the co-headquarter hotels.

Assigned booth numbers are required before making a hotel reservation through SfN Housing. Exhibitors receive booth numbers after they are approved to exhibit.

Note: Exhibitor hotel registration does not require a six-character unique registration confirmation number; the confirmation number only applies to attendee housing.

Convention Management Resources (CMR) is the Society for Neuroscience's official housing company for Neuroscience 2024.

The online exhibitor housing request form will be available on July 23.

Be aware that you may receive improper solicitations from fraudulent agents posing as Neuroscience 2024 vendors, offering deals on hotels*, attendee lists, advertising, and other Neuroscience 2024-related goods and services.

All legitimate communications of this sort will come from SfN directly, or from one of SfN’s Official Vendors.

*Though housing poachers typically offer a lower rate than the official block rate, their cancellation policies are often harsh and unforgiving. These tactics make it difficult for SfN to negotiate the best possible rates for future meetings. We encourage booking housing accommodations using Convention Management Resources (CMR), the official housing company for Neuroscience 2024. Please note that exhibitor housing will open July 23 through CMR.

Exhibitors must use the online exhibitor hotel block request form for eight or more reservations. The online exhibitor block request form will be available on July 23.

Exhibiting companies receive (2) complimentary exhibit-hall-only guest badges per 10 ft. x 10 ft. (100 sq. ft.). Exhibitor Guests will have access to the exhibit hall and poster sessions only, at no additional charge.

Once an exhibiting company has reached the allowable number of guest badges, exhibitors will be required to register guests at a $290 fee.

Badged exhibit personnel may attend scientific sessions that do not require a ticket.

Exhibit Guest Badges
Badged exhibit guests will have access to the exhibit hall and poster sessions only and do not have access to scientific sessions.
