Exhibitor Check-In

Exhibitors will receive their move-in packets at Exhibitor Check-in Tent

The packets include: Staff Badges, Staff parking Passes, Move-in & Move-out Info & any sponsorship related materials if you are a sponsoring exhibitor

** Exhibitors must check-in at the Check-In tent before starting to set up to indicate their arrival, confirm booth, and receive their booth staff badges

NOTE: If there is inclement weather during check-in, please check-in at the show office, located in Eco Experience Progress Center

Display space is assigned at the discretion of Show Management and subject to change based upon a number of varying factors, including arrival time, venue conditions, payment date, etc. There is no guarantee on booth location.

Set-up & breakdown info

  • If need to set-up your booth outside of the normal exhibitor move-in times, please contact exhibitor services at least 1 week prior to event to receive early move in instructions. 
  • Please note, there is no guarantee we can accommodate an early move-in time. We will do our best to work with the venue and our decorator to accommodate the best we can.
  • Booths vacant after 8am on 7/15 are considered abandoned and are subject to being filled by companies from a waiting list.
  • To inform of a late arrival and receive instructions on set-up at a later time, contact Exhibitor Services

All Exhibiting Booths must be completely set-up no later than 9am on Fri, July 15, unless pre-arranged by Event Management

No Exhibitor is allowed to breakdown their booth prior to 3pm Sun, July 17. An exhibitor can consolidate your booth, however you are required per your booth terms & conditions of your agreement to occupy your booth throughout the entire event.

Exhibitor Staff Parking

Trailer Parking

  • Each Booth will receive VIP parking passes in their move-in packet when they arrive.  
  • You MUST show this parking pass each time you enter the fairgrounds
  • Exhibitors and staff are allow to park behind their booth or in the VIP parking area in front of the Show Office
  • Exhibitor Trailer parking is located behind your booth or in the designated Trail Parking lot near Participant Registration Trailer

If you have not yet submitted your Certificate of Liability Insurance, please note the following: All vendors must carry $1,000,000 liability insurance and it must name “Bonnier Corporation and their subsidiaries, parent companies and affiliates as additional insureds.” Certificate holder listed as: Bonnier Corporation, 480 N Orlando Ave #236, Winter Park, FL 32789. Please e-mail to Exhibitor Services Team, or bring on-site. Vendors will not be permitted to set-up without proof of this insurance.
