Exhibitor Move-In

Exhibitors must check-in at the show office before starting to set up to confirm booth space and receive their booth staff credentials and other important show information.

Exhibitor Check-in – The show office will be located near Exhibit Entrance outside Exhibit Hall.

Exhibitor Move-Out

 Absolutely NO early tear down.

  • All exhibits must remain setup and in place until the official close of the expo.
  • Exhibitors leaving early will lose their booth choice for next year.
  • Exhibitors must be out no later than 11:00pm on Sunday evening.

Move-In & Move-Out Info

  • If need to set-up your booth outside of the normal exhibitor move-in times, please contact exhibitor services at least 1 week prior to event to receive early move in instructions. 
  • Please note, there is no guarantee we can accommodate an early move-in time. We will do our best to work with the venue and our decorator to accommodate the best we can.
  • Booths vacant after 1pm on July 22 are considered abandoned and are subject to being filled by companies from a waiting list.
  • To inform of a late arrival and receive instructions on set-up at a later time, contact Exhibitor Services

All Exhibiting Booths must be completely set-up no later than 1pm on July 22, unless pre-arranged by Event Management

No Exhibitor is allowed to breakdown their booth prior to 4pm July 24. An exhibitor can consolidate your booth, however you are required per your booth terms & conditions of your agreement to occupy your booth throughout the entire event.

Show Credentials

Exhibitors are eligible to receive up to four (4) wristbands for the first 10’x10’ booth space.

Non-profit organizations receive up to six (6) wristbands for the first 10’x10’ booth space.

  • Exhibitors are eligible to receive up to two (2) extra wristbands for each additional 10’x10’ booth space.
  • Maximum of 10 wristbands per exhibitor.
  • Extra and replacement wristbands are $10.00 each.


NO ONE will be admitted into the exhibit hall without the appropriate wristband.

For the security of your products, EVERYONE working in a booth MUST HAVE and WEAR an exhibitor wristband during ALL EXPO HOURS.

Door guards will check wristbands every day when you enter the building - wristbands should be immediately visible for easiest, fastest admittance.

Unloading & Loading

  • Thursday - Trucks, trailers and cargo vans can drive in with permission through overhead doors weather permitting.
  • Keeping your safety (and other exhibitor booths in mind), cut off time for driving in on Thursday will be determined by our floor manager.
  • Friday - No driving into the building.
  • Loading in and out convenient with an 11’ wide x 13’ high door with drive-up access from the East Loading Dock.
  • Bring your own dollies and hand carts in case the facility does not supply them.
  • DO NOT set up your booth as you unload.
  • Unload first, park your vehicle, then set up your booth.

Large Equipment Unloading

  • If you have large equipment that requires unique unloading needs please contact GES before the expo so we can schedule you to move in before the designated setup times.
  • If your booth setup requires the use of a forklift please contact GES in advance to setup a time for forklift use. There is discount pricing for advance orders.
  • You may order forklift service on-site, but you should expect long waits and paying regular rates.

Display Vehicles

(Gasoline Engines)

  • The vehicle must have less than 1/8 of a tank of gas/fuel or less than 5 gallons.
  • The gas cap must be locked or taped.
  • Any fueling or de-fueling cannot take place inside the building.
  • An extra set of keys to the ignition must be left with the Show Promoter or building management.
  • Visqueen must be placed underneath each vehicle.
  • Carpet squares to be placed under each tire. Refer to carpet care where applicable.
  • The battery cables must be disconnected from the battery in case of an emergency. No jump starting of vehicles will be allowed inside the building.
  • All vehicles will remain stationary.
  • No field equipment to be operated inside the building (i.e.…lawnmowers, weed trimmers, etc.).

Fire Regulations

Exhibits must comply with all local, state and federal fire codes as they apply.

  • Only fire-proof material should be used as decoration in displays.
  • Contact the Convention Center for specific fire regulations and codes.

Security

  We will maintain security for the facility during expo hours and at night.

Firearms

To ensure the safety of all attendees, exhibitors, speakers and staff who attend our expo we are enacting the following safety precautions:

  1. Firearms will not be left unattended at any time in the exhibit hall.
  2. All firearms must be locked in your hotel room or in another secure place when the exhibit hall is closed. While moving firearms they must be in a closed container.
  3. There will be no live ammunition at your booth.
  4. All weapons will be unloaded, and the firing pins will be removed or modified to ensure that the weapons cannot be fired. If the firing pins are not removed, the firearm must be disabled in another manner to ensure that no rounds can be fired. (i.e. Safety Tab or zip tie)
  5. It is strongly recommended that no magazines are inserted into the display weapons unless needed to show the functionality of the firearm.
  6. Each firearm will have its actions opened while being displayed.
  7. It is highly recommended that you do not carry any live firearm, concealed or not, during the hours when the exhibit hall is open. If you elect to carry a live, concealed firearm during exhibiting hours, that firearm must never be used as a display and is for personal protection or in case of an emergency.

Sound Control

  • Any DVD’s, music, or other audio devices including duck and turkey callers, must be kept to a minimum.
  • Please respect your neighboring exhibitors and avoid sound pollution.

Raffles

The show office does not page winners for raffles and will not announce raffles.

It is the exhibitor’s responsibility to follow local, state and federal rules related to raffles.

Door Prizes

  1. Drive traffic to your booth - this high profile opportunity is available to all exhibitors to promote their products and booth location throughout the weekend. Your certificate(s) will be available as a door prize throughout the weekend.
  2. Door prize winners are pulled every two hours during show hours on Friday, Saturday and Sunday.
  3. Winners will bring the certificate to your booth to claim their prize so that you have the opportunity to introduce them to your company.
